How to use the invoice generator

Fill in the basics

Start with the invoice number and dates. Use a numbering pattern you can keep forever, such as INV-0001, INV-0002. The Next number button bumps the trailing digits and resets the dates when you begin the next invoice. Pick the currency your client will pay in.

Add your business details and the client's. A logo is optional: it is shrunk in your browser, stored with your draft and placed top-left on the PDF.

Add line items

Each line has a description, a quantity and a unit price. Prices can have decimals, and quantities can too, which helps for hours (1.5) or kilograms. Click Add item for more lines; the trash button removes one.

Get tax and discount right

Choose how tax works:

  • No tax for businesses that do not charge any.
  • One rate applies a single percentage to the whole invoice, which suits most GST or VAT cases.
  • Per line lets each item carry its own rate.

Rename the tax label to GST, VAT or Sales tax. A discount can be a percentage or a fixed amount; it is spread across the lines before tax is worked out, so tax is charged on the reduced price. Shipping or other charges are added after tax.

Pick a template and download

Three templates are included: Modern with a coloured header and total bar, Classic with an accent rule, and Minimal for a quiet black-and-white look. Pick an accent colour to match your brand, then press Download PDF. Long invoices continue onto extra pages with a header row repeated.

Before you send it

  1. Check the totals box against a calculator.
  2. Put your bank, UPI or PayPal details in the payment box.
  3. State late-payment terms in the Terms field.
  4. Save the PDF with the invoice number in its name, which this tool does for you.

If you invoice often and want clients, recurring billing and payment links, an invoicing module built into your own system saves hours every month.

Frequently asked questions

Is the invoice generator really free?

Yes. There is no sign-up, no watermark and no limit on how many invoices you make. The PDF is built inside your browser, so nothing is sent to our servers.

Where is my invoice data stored?

Only in your own browser, in local storage, so your draft is still there when you come back. Clearing site data removes it. We never receive it, so we cannot recover it for you either; download the PDF for your records.

Can I charge different tax rates on different lines?

Yes. Choose "Per line" under Tax and set a rate on each item, for example 5% on books and 20% on services. The totals box and the PDF then list the tax for each rate separately, which most tax authorities expect.

What does "prices already include tax" do?

It tells the tool that the prices you typed are tax-inclusive, as in many retail and VAT countries. The tax amount is then worked out from inside the price and the total does not change.

Why does a currency show as a code in the PDF?

PDF files use standard fonts that lack many currency symbols such as the rupee sign, so amounts are printed with the ISO code, for example INR 12,500.00. This avoids broken characters and is clear to every reader.

Is this invoice legally valid?

The document contains the usual details, but legal requirements differ by country: some need a sequential number, a tax registration number or specific wording. Check your local rules or ask an accountant before relying on it.
